Virtual Receptionist

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization.

You will VIRTUALLY welcome guests who call our business to book post op massages or inquire about our services/need phone support.

You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role.

You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus.

Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.


Responsibilities

1. Greet and welcome guests as soon as they call our office line

2. Direct guests to the right resources pre and post appointment

3. Answer, screen and forward incoming phone calls

4. Ensure outbound calls are completed to check the welfare of clients

5. Provide basic and accurate information in-person and via phone/email

6. Maintain office security by following safety procedures and controlling access as needed

7. Manage/order front office supplies and keep inventory of stock

8. Update calendars and schedule meetings

9. Keep updated records of appointment log with daily reconciliation

10. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing


Skills

1. Proven work experience as a Receptionist, Front Office Representative or similar role

2. Proficiency in Microsoft Office Suite

3. Excel Skills

4. Hands-on experience with office equipment (e.g. fax machines and printers)

5. Professional attitude and appearance

6. Solid written and verbal communication skills

7. Ability to be resourceful and proactive when issues arise

8. Excellent organizational skills

9. Multitasking and time-management skills, with the ability to prioritize tasks

10. Customer service attitude

11. High school degree; additional certification in Office Management is a plus
